We are seeking an Administrative Officer 2 to provide support for our incentives programs and serve as an alternate for the bureau's administrative operations. As an Administrative Officer 2, you will be responsible for providing administrative support for annual grant programs, maintaining records related to PA SHPO's incentives programs, providing notifications to applicants, responding to inquiries, as well as analyzing program trends. You will have the opportunity to serve on the PA SHPO's leadership team where you will compile data to complete annual reporting to the National Park Service and participate in the roundtable meetings twice a month to review priorities and contribute to the bureau's organizational planning. Additional responsibilities include:

  • Coordinating with staff to create or update annual grant application
  • Contributing to the development of program guidance and operating procedures
  • Ensuring compliance to state and federal guidelines
  • Maintaining tax credit project records
  • Assisting with monitoring the historical marker resource account
  • Serving as backup to the timekeeper
  • Completing routine training and professional development
  • Performing various administrative tasks to ensure efficient operations in the office

Work Schedule and Additional Information: 

  • Full-time employment
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with a 60-minute lunch.
  • Telework:  You may have the opportunity to work from home (telework) part-time, with the exception of site visits/field work, leadership meetings, and one (1) day per month in the office. Specific days will be determined according to bureau needs. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.
  • Salary:   In some cases, the starting salary may be non-negotiable.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as an Administrative Officer 1; or
  • Three years of experience in progressively responsible and varied office management or staff work, including experience in personnel management, budgeting, or procurement; and a bachelor's degree; or
  • Any equivalent combination of experience and training. 

Additional Requirements:

  • One or more years experience administering grants including reviewing and paying invoices, monitoring grant activity, maintaining records, and compiling reports
  • You must be able to perform essential job functions.

Preferred Qualifications (not required):

  • One or more years overseeing and tracking annual and cyclical program priorities
  • One or more years experience working with data management systems
  • One or more years experience with program evaluation
  • One or more years experience in data analytics
  • Two or more years experience performing fiscal management work
