Job Description

JOB DESCRIPTION: PAYROLL ADMINISTRATOR.

REPORTS TO: Controller.

REPORTING POSITION : Payroll.

Payroll Responsibilities:

  • To compute and disburse dues, wages and salaries, deductions, taxes and all other withholdings.
  • Prepare weekly reports and/or payments to: Union Dues, Garnishments, and miscellaneous garnishments. Process Federal and State taxes, Vacation, 401K.
  • Calculate special checks, reviews, edits and make corrections and adjustments as needed.
  • Complete Certified Payroll reporting and send to General Contractors and municipalities.
  • Set up new employees.
  • Alphabetize and Scan Timecards.
  • Reconcile and process Dues to Health and Welfare Trust.
  • Payment Processing.
  • Management of employee records and information.
  • Payroll audit management.
  • Work Comp Audit management.


401K:

  • Annual report must be compiled and filed with the state.


Work Comp:

  • Complete 1st report of injury for W/C Carrier and submit to agency.
  • W/C Claim number that is received from the agency must be called to the medical office providing service to the employee.
  • Accident must be determined to be recordable and logged on OSHA log.
  • Annual report must be compiled and filed with the state.


Employees:

  • Process changes for employees consisting of address, phone, 401K, insurance, tax information, bank account information etc.


Driver’s Licenses:

  • Organize annual Driver’s Licenses Checks which consists of compiling a list of all employees who are authorized to drive SMC vehicles.


New Davis Bacon Projects

  • Notify Department of Revenue of Project and all Subs.
  • Notify all subs that Certified payrolls are required.
  • Set up tracking sheet for certified payrolls.


Quarterly & Annual 

  • Process Quarterly taxes to include Federal, FUTA and SUTA.
  • Mail out 401K Statements.
  • Process Year End Taxes.
  • W-2’s.


Miscellaneous:

  • Process Government Prevailing Wage Survey.
  • Process Government Work Comp Survey.
  • Process Unemployment Paperwork.
  • Process Employee Separation Paperwork.


INTERPERSONAL AND COMMUNICATION SKILLS:

The Payroll Administrator should be a good multi-tasker. This person must be willing and able to faithfully execute all of the duties and responsibilities that are outlined in this Position Description, including adherence to all company policies and procedures.

The Payroll Administrator must have a strong background and experience in telephone skills, office administrative skills and customer service. This person should be able to identify business concerns and develop appropriate responses, actions, and strategies to address each to situation for the success of the Company.

The position requires a self-actuating, detailed-oriented person who is able to initiate and participate as a team player with a top focus on customer service. The administrator must possess strong interpersonal skills and be able to work independently, meet deadlines, coordinate operational requirements and achieve departmental goals.

The physical demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this job.

Body Position:

Regularly requires sitting for pro-longed periods of time.

Body Movements:

The employee must have a full range of body movements including the use of hands and fingers to handle or feel objects and use computer equipment and be capable of bending, reaching and crouching. Requires the ability to negotiate around a crowded office and walk up and down stairways.

WORK HOURS:

  • Work hours will be from 7:30AM to 4:00 PM Monday through Friday.
