Job Description

The Department of Philosophy at the University of Pennsylvania is a research intensive, highly interdisciplinary center of philosophical scholarship on Penn's campus. The core strengths of the department are centered in moral philosophy and philosophy of science, broadly understood to include the history of these disciplines and cognizant areas such as metaphysics, epistemology, and logic. The department's course offerings serve the programs in Cognitive Science, Visual Studies, the Biological Basis of Behavior, and Philosophy, Politics, and Economics, as well its own majors and general education requirements. Both teaching and research activities are coordinated with philosophy faculty in the Law, Medicine, Education, and Business schools.

Job Responsibilities/Duties:

This position supports curriculum and course management via the Next Generation Student Systems (NGSS). It requires extreme attention to detail, precision with data entry and time management. The position also has responsibility for developing and maintaining communications, fielding inquiries, and guiding both students and faculty through a variety of University policies, resources, and procedures.

The position also handles undergraduate student activity coordination and provides guidance to students and support to faculty as related to academic planning and course rostering. The candidate will maintain and organize all student records with strict confidentiality, and coordinate all student academic activity, which includes monitoring undergraduate student records for graduation, transfer credit, processing petitions, permanent record changes, and managing course permissions.

Additionally, the candidate will coordinate administrative aspects of undergraduate majors and minors, addition of majors and minors to department's system using central university databases and systems. The person will handle detailed data input of all courses for undergraduate programs in PHIL and LOGC. Person should be knowledgeable in degree requirements for undergraduate students and assists the chairs and faculty to manage the undergraduate curriculum and support the overall academic mission and curriculum planning and will organize the curriculum, identifying and effectively procuring suitable teaching spaces and resolving any related issues.

Candidates will also hire and assign lecturers to courses as required by the curriculum. The Undergraduate Coordinator handles the general office administration and curriculum for the Department of Philosophy including answering phones, handling walk-in inquiries and distributing office-hour schedule sheets each semester. Other duties include changing mailboxes as needed, retrieving mail from the mailroom and distributing, sending outgoing mail by USPS, UPS or FedEx as requested and submitting room reservations and classroom change requests. Additionally, reporting maintenance issues in department and faculty offices.

Qualifications:

High School Grad/GE Degree and 5 to 7 years of experience or equivalent combination of education and experience is required. Previous experience with academic and curriculum planning and student advising is preferred. Previous experience in an academic office, previous Penn experience and data entry and management experience preferred. High level data entry and review skills and accuracy with numbers and details required. Well versed in all computing applications, plus ability to learn and manage new applications quickly and efficiently. Thorough knowledge of office procedures, practices and methods. Ability to organize and prioritize assignments and work effectively with diverse groups. Being detail-oriented, flexible, and productive under pressure. Ability to manage competing deadlines. Ability to work closely and professionally with students, staff, and faculty. Ability to staff events as needed.
